DUTIES AND RESPONSIBILITIES Ensuresday-to-day operational efficiency of the department by managing supplies neededby all sections.

Monitorsinventory levels of each section regularly.Notifies manager/supervisor of stock levels in a timely manner.

Raises purchaserequests to complete repair and maintenance tasks. Uses technology to send,receive, and print out purchase requisitions.

Ensuresaccuracy and completeness of details specified in each purchase requisition.

Records alloutgoing Purchase Requisitions for any information needed by the department.

Coordinateswith the Purchasing Department for the processing of purchase requisitions.

Supervisestimely delivery of ordered items.

Receives,unloads, and processes deliveries endorsed by the Purchasing Department.

Keepsrecord of all deliveries by safekeeping copy of invoice and/or deliveryreceipts.

Maintainsup-to-date, clear and organized records to ensure all reports and invoices arefiled and stored properly.

Troubleshootsvendor delivery issues and oversee return process.

Workswith suppliers to resolve discrepancies between invoices and actual receivedmerchandise, and report to manager/supervisor as necessary.

Workswith the Purchasing Department and suppliers to resolve discrepancies betweeninvoices and actual received merchandise.

Refusesacceptance of damaged, unacceptable, or incorrect items, track refusal ofitems, and communicate to appropriate management.

Maintainsand organizes all received items and place in proper storage areas.

Locksand unlocks secure merchandise storage areas.

Organizesand cleans storage areas.

Reducesworkplace hazards in storeroom by following safe handling and storage policiesand procedures.

Communicatesand logs issues or problems and physical repairs.

Completesand maintains required departmental paperwork.

Communicatesto management and document overstock or slow moving products (e.g., push list)for proper utilization.

Prints,organizes, and separates various necessary documents, summarize relevantinformation, and distribute information to appropriate associates/department.

Followscompany and department policies and procedures.

Protectscompany tools, equipment, machines, or other assets in accordance with companypolicies and procedures.

Ensuresadherence to quality expectations and standards; identify, recommend, develop,and implement new ways to increase organizational quality.

Reportsaccidents, injuries, and unsafe work conditions to manager; complete safetytraining and certifications.

Maintainsconfidentiality of proprietary information; protect company assets.

Developsand maintains positive and productive working relationships with otheremployees and departments.

Supportsall co-workers and treat them with dignity and respect.

Identifiesand recommends new ideas, technologies, or processes to increase organizationalefficiency, productivity, quality, safety, and/or cost-savings.

Usesproper equipment, wear appropriate personal protective clothing (PPE), andemploy correct lifting procedures, as necessary, to avoid injury.

Followspolicies and procedures for the safe operation and storage of tools, equipment,and machines.

FollowsHazardous Material Management Program procedures for handling and disposing ofchemicals, etc., including using Material Safety Data Sheets (MSDS).

Followsproperty specific procedures for handling emergency situations (e.g.,evacuations, medical emergencies, natural disasters).

Answerstelephones, e-mails, and other forms of communications using appropriateetiquette.

Coordinatestasks and work with other departments to ensure that the department runsefficiently.

Assistsin maintaining computer- and paper- based filing and organization systems forrecords, reports, documents, etc.

Assists in monitoringdaily expenses of the department.

Keeps andorganizes record of quotations, proposals, company profiles, productcatalogues, etc. for any information needed by the department.

Assists inmanaging appointments of suppliers and contractors with managers andsupervisors.

Assistssupervisors in monitoring items pulled out from the Hotel.

Follows allinstructions, rules and regulations that may be issued.

Ensuresneatness in appearance, proper personal hygiene, and wearing of completeprescribed uniform and polished shoes in the workplace at all times.

Observespunctuality in the workplace.

Emphasizes ongood personal behavior as per guidelines laid down in the Employee Handbook andpromotes teamwork always.

Develops andmaintains positive working relationships with others, support team to reachcommon goals, and listen and respond appropriately to the concerns of otheremployees.

AttendsEngineering meetings and other hotel requirements regularly.

Ensuresimmediate provision of services to guests and other operating departments.

Responds andmakes himself available for any call by his superiors during emergencies,troubles or calamities. Stays in the hotel as standby force to aid inemergencies.

Performs anyother work and related functions as may be assigned by his superior toaccomplish a smooth operation and maintenance of the hotel.

Job Summary

Workclosely with the administrative supervisor of Engineering to carry outresponsibilities assigned to him and in accordance with established policiesand procedures to perform a smooth operation of the entire EngineeringDepartment.

Supportthe Admin Assistant to the DOE in carrying out administrative works, mostlywith focus but not limited to storekeeping, which may be required and delegatedby the Director of Engineering and the Department as a whole. Store items in an orderly and accessiblemanner in warehouses, supply rooms, or other areas. Mark stock items usingidentification tags or other labeling equipment. Examine and inspect stockitems for wear or defects, reporting any damage to supervisors. Determineproper storage methods, identification, and stock location based on turnover,environmental factors, and physical capabilities of facilities. Order items,including filling out requisitions, obtaining manager approval, and usingappropriate vendors. Pack and unpack items to be stocked on shelves in stockroomsand warehouses.
