Job Summary- The Secretary of the General Manager is responsible in coordinating end-to-end administrative assignments in support of the General Manager's area of responsibility. Assignments include office coordination, scheduling, preparing and maintaining records, reports, and correspondence pertaining and unique to the Office of the GM.Duties and Responsibilities- Manifest strict adherence and competent compliance with WMSI's Mission, Vision and Corporate Values.- Maintain record of customer property and ensure distribution to departments concerned.- Maintain List of Records (including reference materials) for the Office of the General Manager, including vessel folders.- Inform all departments concerned for changes in status of WMSI vessel (e.g. new vessel, vessels leaving).- Coordinate travel plans of the GM, including coordination with internal/external parties for booking, lodging, and transportation.- Man the telephones, including that of the GM, when necessary.- Receive visitors of the GM, provide comfortable and hospitable assistance or initial information needed.- Record minutes of the meeting as requested.- Coordinate with and assist the rest of the Admin personnel during company activities.- Retrieve customer feedback forms from designated drop boxes, summarize the same and submit the report to the GM, copied to the Office of the President.- Ensure strict implementation and continual improvement of WMSI's quality management system.- Serve as a backup Document Control Custodian.Qualifications:- Bachelor's Degree of any four-year course- Strong analytical skills and writing skills, to include solid experience in writing functional and technical specifications.- At least 3 years experience in administrative support.- Has knowledge in simple graphic design.Job Types: Full-time, PermanentBenefits:- Company Christmas gift- Flexible schedule- Free parking- Staff meals providedSchedule:- 8 hour shift- Day shift- Flextime- Monday to Friday- OvertimeSupplemental pay types:- 13th month salary- Overtime pay
