This key leadership position will be responsible for overseeing all aspects of administrative operations, procurement activities, and travel management within our organization. The ideal candidate will possess strong leadership skills, a comprehensive understanding of administrative and procurement processes, and a proven track record of driving efficiency, compliance, and cost-effectiveness.
Duties and responsibilities Develop and execute comprehensive strategies to optimize administrative processes, procurement activities, and travel management, enhancing operational efficiency across the organization. Lead and manage the Administration and Procurement team, providing direction, guidance, and support to ensure high performance and employee development. Establish and maintain effective vendor relationships, overseeing the selection, negotiation, and management of contracts to ensure quality, cost-effectiveness, and compliance. Collaborate with key stakeholders to understand their administrative, procurement, and travel needs, aligning departmental objectives with organizational goals and priorities. Ensure compliance with relevant laws, regulations, and company policies in all administrative, procurement, and travel activities, including but not limited to procurement laws, contract management, travel policies, and expense reporting requirements. Develop and implement policies, procedures, and systems to standardize administrative, procurement, and travel processes, improve transparency, and mitigate risks. Monitor and analyze budgetary data related to travel expenses, identifying opportunities for cost savings, efficiency improvements, and resource optimization. Oversee the preparation and management of travel budgets, forecasts, and reports, providing regular updates to senior management and stakeholders as needed. Coordinate travel arrangements for employees, including flights, accommodations, transportation, and other logistics, ensuring compliance with travel policies and guidelines. Manage relationships with travel agencies, airlines, hotels, and other service providers to negotiate favorable terms, rates, and agreements. To potentially coordinate and synchronize procurement processes and policies, along with continuous improvement initiatives and goals, in collaboration with colleagues from Asia Pacific Procurement. Serve as a subject matter expert and advisor on administrative, procurement, and travel matters, providing guidance and support to internal teams and stakeholders as required. Lead or participate in cross-functional projects and initiatives aimed at enhancing organizational effectiveness, efficiency, and competitiveness. Represent the organization in negotiations, meetings, and other forums related to administrative, procurement, and travel activities, ensuring the organization's interests are effectively represented and protected. Bachelor's degree in business administration, Supply Chain Management, Finance, or a related field. Master's degree preferred. Minimum of 7-10 years of progressive experience in administrative management, procurement, travel management, or related roles, with at least 3-5 years in a leadership capacity. Proven track record of successfully leading and managing administrative, procurement, and travel functions in a complex organizational environment. Deep understanding of procurement principles, practices, and regulations, including experience with sourcing, contracting, and supplier management. Proficiency in relevant software applications, including but not limited to Microsoft Office suite, enterprise resource planning (ERP) systems, procurement software, and travel management systems. Strong analytical and financial acumen, with the ability to analyze data, identify trends, and make data-driven decisions to achieve organizational objectives. Professional certifications such as Certified Purchasing Manager (CPM), Certified Professional in Supply Management (CPSM), or Certified Travel Manager (CTM) preferred. Strong leadership and interpersonal skills, with the ability to build and maintain effective relationships with internal and external stakeholders at all levels. Excellent strategic thinking and problem-solving abilities, with a demonstrated ability to develop and execute innovative solutions to complex challenges. Exceptional communication skills, both verbal and written, with the ability to convey complex information clearly and concisely to diverse audiences. Proven ability to multitask, prioritize competing demands, and meet deadlines in a fast-paced and dynamic environment.
