JOB DESCRIPTION:Responsible forproviding administrative supportto various units/department such as, decorating, planning of routine activities of Janitor. Ensure a clean, organized and well-maintained office environment by, directing and supervising the janitor in implementing proper good housekeeping. Receives, sorts and distributes mails, correspondences, supplies, etc.PRINCIPAL DUTIES AND RESPONSIBILITIES:
Screens incoming calls. Greets visitors and make waiting time as comfortable as possible after notifying pertinent individual.
Monitor, control and maintain documents receiving logbook and logbook for telephone communication both for local and international.
Collates and endorse documents for signature.
Maintains reception area and Conference Room, making it presentable at all times.
Assists in scheduling of appointments, answering phone calls, processing and sorting of mails/business correspondences and ensures confidentiality of the same.
Assist in coordinating planning activities within the company, including development of long-range strategic plans.
Assist in the maintenance of lockers and locker assignments.
Coordinate special company functions as assigned/directed.
Make sure that office equipment are in good working order.
Logs in/out incoming and outgoing documents and make sure that they are properly distributed to their respective recipients.
Monitors records of the following:
Break Policy Sheet
Application Requirement Forms
Leave Forms
Medical Certificate Monitoring Folder
Coordinates with HR on facility maintenance and repair.
Assist in the maintenance of doors and security locks.
Performs other duties that maybe assigned from time to time.
