Job Description As a Facilities and Admin Associate , you will play a pivotal role in ensuring seamless operations within the workplace. Your responsibilities will include coordinating and organizing conference and meeting room bookings, as well as providing support in setting up meeting spaces, managing logistics such as refreshments, food, IT equipment, and addressing WIFI/network requirements.

What do you need to succeed Relevant experience in Admin of at least 1 to 2 years is required.
Proficiency in the English Language is required.
Proficiency in using MS Office, Excel, and SharePoint is a must.
Strong problem-solving skills and attention to detail are essential.
Strong written and verbal communication skills are necessary.
Willingness to undergo training, listen, learn, and lead as necessary is a must.
Detail-oriented, highly attentive to visual awareness, and meticulous in handling details.
Willingness to work on a shifting schedule, including weekends, is required.
Diligence and self-motivation, requiring minimal reminders for task completion, are necessary.
What awaits you in this role Reception/Front Desk
Organizing conference and meeting room bookings, assisting with room set up for meetings (i.e., drinks, food, IT equipment, WIFI/network requirement)
Monitoring visitor access and maintaining security and safety awareness. (Maintain visitor log sheets and contact tracing)
Monitoring corporate main entry/lobby, greeting guests, directing visitors to appropriate employees or offices, and notifying company personnel of visitor arrival.
Answering the direct line, transferring to the concerned Department.
Maintains a safe and clean reception area and facility.
Liaises with Customer Experience Managers (CXM), HR Business Partners (HRBP), Utilities/Maintenance Staff, Building Administrators, Contractors, and external suppliers.
Responsible for site-related dispatch.
Facilities
Maintains office and pantry room supplies.
Maintains inventory by checking stock to determine inventory level anticipating needed supplies placing and expediting orders for supplies verifying receipt of supplies.
Coordination of activities with building personnel and vendors.
Management of vendors to ensure they are meeting the business requirements.
Assists local and remote facility moves and set-up (as needed), with prior coordination with Customer Experience Managers (CXM).
Knowledgeable with the seat plan and arrangement with proper coordination with IT, CXM, and HRBP.
Arrange and schedule facility maintenance, repairs, and sanitation (i.e., pest control, carpet cleaning, 2hrs interval sanitation, fortnightly deep cleaning, and sanitation).
Maintains the furniture inventory, to be updated regularly.
Attends clients and staff concerns/issues regarding facilities.
Coordinates with Utility/Maintenance personnel regarding issues or incidents concerning the Office premises and Facilities.
Administrative
Operate and maintain an effective filing system for the department per site.
Provide administrative support to the cluster Facilities and Admin TL, CXM, and HRBP.
Maintains Petty Cash Fund Report & Gift Certificates and the like (to be done monthly) via Finance.
Office Supply Request Report to be billed to clients (to be done monthly) via Finance.
Submission of monthly reports on inventories to Finance.
Submission of weekly and monthly reports regarding machine dispatch, delivery, recovery, and other details relevant to this activity.
Submission of monthly Facilities and Admin Monitoring Report for all client requests through different request channels.
