Our respected client is looking to hire an Admin Professional for the job of Executive Assistant. This job is located at Taguig, Metro Manila, Philippines but currently on a Day Shift - Hybrid arrangement with equipment/devices provided.**Job Summary**:Assist the Leaders in providing personalized secretarial and administrative support in a well-organized and timely manner to ensure efficient day-to-day operations of the office, while maintaining strong stakeholder relationships**Responsibilities**:- Administration _- Provide general administrative support including mailing, scanning, faxing, and copying to management- Assist in maintaining calendars, schedule meetings, and appointments, and provide reminders- Manage a multi-city travel itinerary, taking into account time zones, covid protocols, weather delays, etc.- Undertake the tasks of receiving calls, taking messages, and routing correspondence- Coordinate with multiple teams to ensure CEO is prepped for both external & internal discussions- Inventory Management: Order office supplies and monitor their availability from time to time- Book travel arrangements and submit and reconcile expense reports for the same- Develop and carry out an efficient electronic documentation and filing system- Handling/ communicating with senior stakeholders- Must have high integrity as you will handle confidential and private information.- Internal Customer Satisfaction _- Anticipate and prepare materials needed by the executive for conferences, appointments, and calls- Ensure timely adherence in making arrangements and producing reports as and when required- Financial - Admin Budgeting _- Ensure that the administrative operations are carried out within the budget allocated for a specific period**Job Qualifications**:- Bachelor's degree graduate- Minimum 2 - 3 years of experience in supporting a Senior Leader- Technical Competencies: Data Management, Documentation, MS Teams Management, PowerPoint Presentation, MS Excel- Strong interpersonal skills- High level of confidentiality, professionalism, and good judgment- Ability to work in a fast-paced environment, anticipate issues, stay calm under pressure, ability to navigate and thrive in ambiguity- Proactive & resourceful- Extremely organized- Proficiency in English (knowledge of regional language/s an added advantage)**Salary**: Php50,000.00 - Php100,000.00 per monthSchedule:- 8 hour shiftSupplemental Pay:- 13th month salaryAbility to commute/relocate:- Taguig City: Reliably commute or planning to relocate before starting work (required)
