Project**:Women's Rights, Action, and Advocacy Project (WRAAP)****JOB SUMMARY**Assists the Project Team by providing effective and efficient administrative support to the unit.**DUTIES AND RESPONSIBILITIES**Office reporting and Communications- Receives/keeps track of all incoming and internal communications and disseminates info to concerned staff- Receives and traffics telephone calls- Maintains filing system of all records and documents & keeps central file of project documents- Takes minutes during staff meetingsProperty Custodianship- Keeps custody and maintains monthly inventory custody of project supplies and materials, equipment, furniture and fixtures, as needed- Purchases office supplies and materials (including canvassing and preparation of PO) and releases the same to requesting staff- Maintains library of unit and monitors borrowing of materials- Sees to the maintenance and repair of office equipment, furniture and fixtures- Monitors movement of equipment- Facilitates purchases of plane tickets and accommodations of staff on travel. Keeps track of purchases of plane tickets including actual usage monitoringHRD-related Functions- Facilitates availment of staff benefits (hospitalization, SSS, Pag-ibig, insurances) by coordinating with HRD or local agencies- Facilitates concerns between staff and HRD i.e. PA's, clearances, certifications etc- Ensures that project staff submit OBTAFs and timelogs in timeSupport to Admin and Finance- Facilitates preparation of venues for various meetings and project activities- Arranges transportation needs during monitoring visits- Facilitates invitations, briefing materials and others during program activities- Prepares requests for payment for all MRO payables i.e. PLDT, suppliers, rental fees, legal fees and PSCs- Facilitates staff's requests for cash advance and ensure replenishment of revolving funds, as applicablePerforms other related tasks as may be assigned by the supervisor and manager.**Benefits**:- Health insurance- Life insuranceSchedule:- 8 hour shift- Monday to FridaySupplemental pay types:- 13th month salaryAbility to commute/relocate:- Mandaluyong City: Reliably commute or planning to relocate before starting work (required)
