Duration of appointment: One year, renewableORGANIZATIONAL SETTINGThe Central Support Services (CSS) supports ITC's substantive divisions in the fulfilment of theorganization's mandate and in their activities related to programme-delivery by providing timely,efficient, reliable and cost effective Travel, Procurement, Registry, Messenger, Building Maintenance,and Security services through the implementation of client-oriented, transparent and accessibleprocedures, compliant with related UN rules and regulations.RESPONSIBILITIES
Under the direct supervision of the Administrative Officer (Travel and Support Services) and theoverall guidance of the Chief, CSS the incumbent;
? Coordinates the travel of ITC staff and non-staff members (meeting participants, internationalconsultants), traveling to and from a wide range of member states in connection with missionduties.

? Processes all travel requests for official travel e.g., airfare/ticketing, excess baggageentitlements, terminal expenses, , daily subsistence allowance, lump-sum travel for staff anddependents on traveling on missions, etc.
? Provides information and advice to staff and non-staff travelers in accordance with ITC travelpolicies.
? Provides information on rates and travel schedules for specific itineraries, as requested forbudgeting purposes for programme managers.
? Contacts airlines to resolve ticketing or fare issues for complex travels.
? Processes and monitors all ticket refunds (cancelled tickets).
? Examines and pre-audits the official itineraries of ITC travelers, as stated in the travel request, inorder determine air travel cost entitlement of the proposed official travel of the mission personneland ensures conformity with established rules, regulations and relevant directives;
? Handles travel emergencies during and outside business working hours (processes emergencycalls through the Emergency Service Centre from the travel agency).
? Reviews travel expenses reports ensuring that entitlements are in conformity with Staff Rules.Refers discrepancies back to Certifying Officers for clarification and possible correction.
? Advises Administrative Office of more efficient and cost effective routings with regard to morecomplicated staff itineraries, and assists them in making travel plans in order to take advantageof the benefits to be derived from UN/ITC corporate fares.
? Maintains a daily contact with the travel agency to resolve travel issues and clients’requests/complaints.
? Maintains travel statistics (Voluntary downgrade, ad-hoc DSA requests, refunds, exceptions totravel policy, emergency calls, insurance certificates, etc…)
? Resolves with the Finance Department all invoicing / payment problems regarding the travelagency’s invoices (tickets and visas).
? Coordinates with the various Consulates and embassies and the visa provider (travel agency)regarding the provision of visas for official travel.
? Processes and calculates the ITC carbon footprint for travel emissions using the ICAO software.ELIGIBILITY CRITERIA
EDUCATION: High school diploma or equivalent.
WORK EXPERIENCE: Minimum of 7 years in the travel industry (Preferably travel agencies forcorporate clients/sites, or in an International Organization’s Travel Department or in airlines)Demonstrated experience in managing multicultural and high level clients.Demonstrated experience in managing complex travel cases and travel emergencies.LANGUAGES: Advanced knowledge of English and French required.KNOWLEDGE AND SKILLS:
? Demonstrated knowledge of Global Distribution Systems (GDS) such as Amadeus and/orGalileo.
? Working knowledge of the travel module of an Enterprise Resource Planning (ERP) system,
