Job Description:
Under the supervision of the Assistant Director for Operations and Assistant Director for Facilities & Promotions, the Facilities Supervisor is in charge of overseeing the maintenance and upkeep of the University Athletics Office which includes various sports facilities being handled by the UAO like the Blue Eagle Gym, Football Fields, Track Oval. This position monitors and coordinates with service providers who attends to general upkeep and maintenance of the Office and its facilities in compliance with the safety work practices and rules in facility modification. This position also provides general administrative support in the daily operations of the office.


Duties and Responsibilities


A. Facilities Management Role:


Monitors cleanliness & orderliness of the Blue Eagle Gym, Football Fields/Track Oval and UAO office. Coordinates with service providers related to messengerial, maintenance and upkeep of the athletics office and facilities. Schedules the cleaning of electric fans, exhaust fans, Iwata air cool, air con filters, filters of drinking fountain, general cleaning of air cons, cleaning of roof gutter for dirt, and falling dry leaves. Regularly inspects the safety of all facilities. Regularly inspects leaks of restroom water tanks, faucets, shower valves and busted bulbs Recommends cost effective ways to improve efficiency, productivity, and safety of the facilities being managed. Coordinates with program heads, coaches and other stakeholders in relation to project improvement of BEG, Football Field/Track Oval and the UAO Office Attends to requests/complaints from coaches, varsity, student, and outside clients with regards to the use of sports facilities. Ensures that gym and football field/track oval users are aware of their responsibilities while using the facilities. Maintains cooperative relationships with persons in charge of other facilities used in connection with sports competition. Coordinates with CFMO and Security office of BEG & Football Fields/Track Oval schedules especially during weekend. Oversees preparations, usage, and cleanup of BEG, Football Fields, Track Oval for special events and other specific programs Collates monthly electricity meter reading of Hot & Cold Vending Machine located at the BEG and computes the power consumption in coordination with the Facilities Management Office, FMO B. Leadership Role:


Monitors and coordinates with contractors in relation to projects undertaken by the office. Monitors and ensures that the assigned utility personnel attend to the maintenance and upkeep of the UAO Office, Blue Eagle Gym, Football Fields and Track Oval. Supervises the preparation of the Football Fields for the use of AFC football clinics and during Festival. Supervises the preparation of the Football fields, Track Oval for the GS Intramurals and other activities. Supervise the preparation of the sports facilities for the various UAAP, others School Athletic Association and Company tournaments Supervise the preparation of the Blue Eagle Gym for the Grade School’s Thanksgiving and Holy Guardian Angels mass, UAAP tickets selling and other school activities Supervise/assists other units in preparation of venue for the bonfire celebrations. Recommends for the purchase of new equipment, services of new vendors, need for facilities renovation. Addresses additional manpower needs for major events led by UAO Coordinates with service provider for security personnel during events such as BEG, Football Fields, Track Oval especially outside Clients C. Administrative Role:


Attends to queries or request for the use of the Blue Eagle Gym, Football fields, Track Oval and other facilities through walk-in, email and telephone calls. Screens and records reservation schedule for the use of various sports facilities Updates and maintains specific files for ready reference and use. Monitors and inputs income/expenses data in the in-house excel program as reference for the DCB accounts of both Blue Eagle Gym and Football Fields Prepares order for a check (OC), purchase requisitions (PR) Prepares billing statement for the use of sports facilities (e.g. Blue Eagle Gym). Prepares list of new equipment and major improvements needed for the UAO budget request Responsible for the inventory and maintenance of equipment, supplies being used in the BEG, Football Fields, Track Oval and UAO Office Canvasses or orders additional janitorial supplies and equipment for the Blue Eagle Gym, Football fields and UAO office Secures permits from municipal halls when Ateneo is the host school of the UAAP basketball tournament or other events Schedules the use and maintenance of the Coaster Buses of UAO office. Secures transportation for Athletes to and from place of tournament Performs other related duties as assigned from time to time by the Director and the Assistant Directors.
Minimum Qualifications:
Graduate of a bachelor’s degree At least 1 to 2 years of exposure to familiar knowledge in building construction, constructions materials and hardware tools; knowledge in electronic/electrical wiring, and administration Has a background knowledge in regards to managerial competencies of planning organizing controlling (PLOC) and effective team management Willing to work a flexible work schedule inclusive of weekend and evenings With skills and knowledge of the following:
Facilities and Materials management: ability to purchase and maintain athletic facilities and equipment of the university Interpersonal skills: ability to build rapport with others. Can relate to people of various temperament and levels Communication skills: ability to convey information effectively and efficiently in the form of oral and written communication People management: ability to hire, select, train, and manage performance of subordinates Computer skills: ability to use basic computer software Driving skills: with Professional Driver’s License Restriction 2 and 3) ability to drive vehicles up to 6 wheels preferred
