About the role
To provide effective and high quality support with the delivery of Global Mobility (GM) services and advice to employees and stakeholders in the Region.
Ensure alignment with, and compliance to, internal controls including the BHP Charter and Code of Business Conduct, Group Level Documents, agreements, systems, standards and procedures
Execute GM activities in the Region in accordance with the GLD, GM Service Delivery Model and external legal, regulatory and reporting requirements.
Responsible for the end-to-end case management and coordination of International assignments and relocation for the International Assignee (IA) population in the Region. End-to-end accountabilities include, but are not limited to the following:
Remaining the main point of contact for the IA throughout the assignment, relocation, repatriation or short-term business traveller arrangement.
Prepare, deliver and discuss Cost Estimates, Assignment /Relocation Letters, including Compensation Balance Sheets, with IAs and stakeholders.
Conduct Pre and Post Assignment/Relocation Briefings with the IA
Maintain IA data in Assignment Pro to ensure completeness and accuracy of records.
Initiate 3rd party service providers, including immigration, tax, medical, and relocation services and monitor day to day services from Vendors, following up on service delivery as required.
Preparation and submission of Payroll Instructions.
Managing and initiating visa extension and renewals for the Region as required.
Act as the primary day-to-day contact for specialised GM knowledge for Business and key decision makers and stakeholders in the assigned Region, this includes immigration and tax consideration.
Manage the timely and effective day-to-day case management for IAs, escalating complex queries according to GM Query and Service Delivery Model.
Develop relationships with BHP’s external tax, relocation and immigration vendors to ensure high quality service delivery and prompt resolution of issues.
Support local GM teams (in Melbourne, Houston and Santiago) with the deployment and management of strategic initiatives, policy implementation and simplification projects as required.
Support the Global Mobility Lead team with the management of the GM program in the Region to ensure it remains effective and meets the needs of the Group and individual Businesses, including but not limited to:
Input into the design and management of the GM service delivery framework and end-to-end accountabilities
Recommend updates to GM processes, tools, templates and systems to support the execution of GM activities
Review GM processes, tools, templates and systems to identify opportunities for improvements and ensure compliance with regulatory and governance requirements
Identify issues and risks which may impact the GM service delivery framework, compliance obligations or the effective execution of GM within the Region and recommend appropriate actions to mitigate risks.
Provide guidance and support to the IA payroll team with respect to reporting and review of IA payroll inputs by HR Administrators.
Understand risks and provide input into mitigations and action planning. Ensure Risk Management protocols are incorporated into operational activities.
Identify opportunities to simplify current processes, remove duplication and minimise hand-offs to enhance standardisation and efficiency.
Support the development of an inclusive culture where employees are encouraged to ‘speak-up’ and offer their thoughts and opinions at all levels.
About You
Relevant experience in Global Mobility and/or international Reward roles, e.g. professional services or Global Mobility/Reward in-house specialist roles and/or a tertiary degree in Human Resources or Business Management, or equivalent relevant experience
Experience with, and understanding of, functional and technical GM competencies
Good understanding of reporting requirements and governance issues as they relate to tax and immigration and understanding of global jurisdictional differences, legislation and regulations an advantage
Payroll and international HR experience a significant advantage
Demonstrated oral and written English language proficiency.
Good understanding of international HR and payroll processes, reporting and data management.
Proficiency in use of the Microsoft Office suite, in particular Microsoft Excel Project management skills an advantage. Experience in SAP and AssignmentPro (or equivalent) preferred.
Spanish written and oral language proficiency a significant advantage
Experience with managing service providers desirable
