The Specialist S2P 1st Level Support is responsible for efficiently and effectively supporting (coaching, assisting, training & answering queries) the user community of the Source-to-Pay (S2P) systems, being main contact for suppliers for all queries (e.g. chasing a payment) related to S2P globally and processing support requests in an efficient and structured way as well as following up on them with the next service levels (in GBSC) and the business partner, and for giving end-user trainings.
Duties& Responsibilities:
Acts as first point of contact for the complete S2P process globally.
Processes incoming queries (either via call or e-Mail) from BI employees as well as suppliers globally and Clarifies open questions about purchase requisitions, purchase orders, invoices and (outstanding) payments with suppliers and internal business partners globally.
Assists internal and external users of the S2P systems.
Performs end-user trainings for S2P Systems.
Analyzes process- and system-errors and solves and/ or forwards those issues or any other query according to the activity split between 1st Level Support, Senior Specialist S2P Global Support Coordination & Administration, Procurement, Accounts Payable and Sourcing.
Efficiently manages and prioritizes tasks to ensure Service Level Agreements.
Processes a high number of support requests from international users and suppliers worldwide referring to Source-to-Pay processes and highly interfaced systems (multiple globally used systems, each with several thousands of users).
Responsible for handling urgent requests from suppliers (e.g. about outstanding payments).
As first point of contact for all S2P related requests from suppliers and users globally the Specialist S2P 1st Level Support clarifies and coordinates a wide variety of different topics with all functions within S2P (Procurement, Accounts Payable, S2P Global Support Coordination & Administration & the S2P Managers System & Projects), with other business functions (e.g. Master Data Management, local sourcing, warehouses) and suppliers worldwide to guarantee that requests which cannot be solved directly are solved as quick as possible.
Additionally the Specialist S2P 1st Level Support gives classroom and online user trainings.
Requirements:
1-2 years experience in Source-to-Pay processes like Accounts Payable and Procurement
Has international experience (e.g. dealing with international customers/vendors, shared service or BPO function)
Experience in a helpdesk support handling of queries is a plus
Experienced in all relevant P2P systems (e. g. SRM 7.0; SAP ERP; Ariba weBuy, InvoiceTrack, Oracle, Catalyst)
Microsoft Office : Experienced in Outlook, Word and Excel, PowerPoint
Customer service skills/orientation
Worked in a dynamic working environment
English (fluent) in spoken and written
Good communication skills
Team player
Worked in intercultural teams
Must be willing to work on a night shift schedule
