SALES SECRETARY
Job Summary:
? The Sales Secretary is responsible for performing rouOne administraOve funcOons such as
draOing correspondence, organizing and maintaining paper and electronic files, or providing
informaOon to callers.
Key Result Areas:
? Answer telephones and give informaOon to callers, take messages, or transfer calls to
appropriate individuals.
? Greet visitors or callers and handle their inquiries or direct them to the appropriate persons
according to their needs.
? Create and enter necessary informaOon for different documentaOons into the Database.
? Use computers for various applicaOons, such as Database inputs or word processing.
? Operate office equipment, such as fax machines, copiers, or phone systems.
? Set up and manage paper or electronic filing systems, recording informaOon, updaOng
paperwork, or maintaining documents.
? Operate electronic mail systems and coordinate the flow of informaOon, internally or with other
organizaOons.
? Schedule and confirm appointments for different stakeholders.
? Maintain scheduling and event calendars.
? Compose, type, and distribute meeOng notes, rouOne correspondence, or reports.
? Complete forms in accordance with company procedures.
? Locate and a?ach appropriate files to incoming correspondence requiring replies.
? Conduct searches to find needed informaOon, using such sources as the Internet.
? Open, read, route, and distribute incoming mail or other materials and answer rouOne le?ers.
? Review work done by others to check for correct spelling and grammar, ensure that company
format policies are followed, and recommend revisions.
? Make copies of correspondence or other printed material.
? Learn to operate new office technologies as they are developed and implemented.
? Arrange conference, meeOng, or travel reservaOons for office personnel.
QualificaOons:
? Academic degree in Business or Office AdministraOon, or related field
? Open for fresh graduates
? Professional experience in office administraOon or secretarial work is an advantage
? Must have good wri?en and oral communicaOon skills
? Fast-learner with new and different office and computer technologies is an advantage
