Position Summary The Recruiting and Operations Coordinator will be an essential part of our team, supporting caregiver recruitment, employee management, client communication, and scheduling. Working closely with our internal team, you will help streamline daily operations, maintain data accuracy, and provide high-quality service to both caregivers and families. This role requires strong attention to detail, great organizational skills, and the ability to work confidently with various software tools. The ideal candidate is proactive, communicates well, and is comfortable adapting to changing priorities in a fast-paced, family-focused environment.
Job Details: Work Schedule: Sunday to Thursday 12 PM to 9 PM EST
Training Schedule: Monday to Friday 10 AM to 7 PM EST
Work Setup: Work from Home
Holidays followed: Christmas Day, New Year's day, and 5 other holidays of your choosing to be discussed with the Hiring Manager)
Responsibilities Support the entire caregiver recruitment process, including: Tracking candidates Scheduling interviews Conducting reference checks Assisting in interviews when needed Help coordinate and schedule caregiver shifts using internal systems Monitor caregiver availability and flag any issues that need follow-up Track caregiver attendance, report issues or trends, and support attendance management Follow up with families after shifts to confirm satisfaction and collect feedback Respond to questions from caregivers and families, ensuring timely and helpful communication Send reminders and confirmations to caregivers for upcoming shifts Assist in creating and sending marketing emails and social media content, following brand guidelines Enter and maintain data accurately in various platforms, such as Monday.com, JazzHR, and others Work collaboratively with team members and be open to taking on new tasks as needed Participate in training and ongoing learning to ensure smooth adaptation to all processes Qualifications At least 2 years of experience in any of the following areas is a plus: recruiting coordination, scheduling, customer service, or marketing Excellent English skills—reading, writing, and speaking (clear, professional communication required) Strong organizational skills and very high attention to detail Tech-savvy; comfortable using multiple software platforms, including but not limited to: Able and willing to work during U.S. Eastern Time hours (including evening and weekend shifts as needed) Flexible with schedule, especially during training or as company needs evolve Proactive, positive attitude, and a willingness to learn and adapt Strong alignment with a family-first, service-oriented team culture
