Job Qualifications: *Candidate must possess at least a Bachelor's/College Degree , Business Studies/Administration/Management or equivalent.
*Required skill(s): good communication skills, with knowledge in using design softwares, experience in real estate management preferred., *Excellent customer service skills.
*At least 2 year(s) of working experience in the related field is required for this position.
*Preferably 1-4 Yrs Experienced Employees specializing in Clerical/Administrative Support or equivalent.
*Proficient in Word, Outlook, and Excel.

GENERAL ADMINISTRATION AND MANAGEMENT DUTIES
Provide administrative support in a demanding environment for the Property Management Team.
Manage a tracking system and calendar for routine maintenance work.
Obtain tenant information sheets and ensure all tenant information in the database is correct and current.
Test new property software
Answer phone inquiries from potential tenants.
Schedule tenant viewings
Proven experience as a Virtual Assistant or relevant role
Familiarity with current technologies, like desktop sharing, cloud services, and VoIP
Experience with word-processing software and spreadsheets (e.g. MS Office)
Knowledge of online calendars and scheduling (e.g. Google Calendar)
Excellent phone, email and instant messaging communication skills
Excellent time management skills
Solid organizational skills

ADMIN TASKS
1. Setup new agents when they join the company.
2. Ensure all Web Portals profiles are displaying current details
3. Process and submit Sale Contracts to conveyancers
4. Manage Live Chat service

1. New Agent Setup
a) Ad new user on CRM
b) Ad new user on Gmail
c) Ad new user on Inspect Real Estate
d) Ad new user to RPDATA
e) Send Induction Booklet
f) Create Media Kit
g) Order sign pack starter kit with business cards
h) Send introduction video from the Angel
i) Send “how to” video links

2. Web Portals Setup
a) Ad new agent on all portals such as REA, Domain etc (16 in total)
b) Ensure Company profile appears updated and correct on each portal
c) Test new agent setup from portal to ensure correct data matching

3. Sale Contracts
a) Capture Sales Advice form submission from the agent
b) Prepare emails to both buyer and seller solicitors
c) Manage documentation towards settlement
d) Ensure all documents are uploaded under the Data tab in CRM
e) Prepare a pre-settlement statement for accounts
