Read more about us here Position Purpose Statement The key purpose of this role is to provide administrative support to the HR team to deliver our business unit strategy and to ensure MyPassers feel engaged and empowered. The HR Assistant will work closely with the team Manager & Leads to ensure systems, information, and processes are maintained across all stages of the MyPass employee journey. Depending upon the successful candidate's expertise, there will be the opportunity to offer additional support in areas such as recruitment, learning & development, process development, or reporting.
\n Key ResponsibilitiesSystem Maintenance and Management Maintain candidate files, employment records, and documentation (HRIS & 201 records), ensuring data is up to date and accurate.Support the P&C team to keep online information, Spaces (intranet) pages, Employee Handbook, Code of Conduct, and other files up to date.Maintain the confidentiality of documentation and P&C files.Manage current IT asset inventory. Liaise with vendor support to troubleshoot and solve system issues. Support the P&C team with system upgrades, rollouts, and deployments. Talent Acquisition and Onboarding Support the Talent Acquisition team through the employee onboarding process, which includes but is not limited to documentation, reference checking, candidate communication, and processing of candidate recordsAdvertise approved roles in relevant recruitment channelsManage IT-related onboarding tasks such as the setting up and provisioning of new equipment.  Team Administration & Reporting Provide the P&C team with monthly reporting support, including MBR/ QBR reporting, turnover reports, headcount reports, and other ad hoc reports as required.Support the monthly All Hands meeting, including preparation of slides, and communication as required with hosts and presenters.Manage the P&C Sprint Board, sending timely reminders and updates before team Sprint meetings.Support MyPass Employee Value Proposition strategies by preparing internal communications, survey feedback reports, and other related materialsProvide general administrative duties including document & data managementManage the administration of the offboarding process, including updating employee records, management of offboarding clearance checklists, and preparation of relevant termination paperwork.Undertake ad hoc duties to support the P&C team Learning and DevelopmentSupport the P&C team with the preparation and delivery of internal and external L&D (training) programs.Provide support including room/ venue set up, coordination of training materials, liaising with external training vendors, on site support during P&C L&D sessions.  Employee ExperienceCoordinate with external HR partners such as banks, government agencies, and health insurance providers to resolve issues where required.Work with the P&C team to deliver well-being initiatives and activitiesParticipate in team social or cultural activities, supporting with internal communication, preparation, and engagement reportingParticipate in People & Culture improvement workshops to address areas for potential innovation or challenges within the businessMaintains and manages office first aid kit Key Selection CriteriaMust have a minimum of one (1) year experience in an entry-level People & Culture or Human Resources role, preferably in the IT-BPO industry or SaaS environmentMust have a Bachelor's Degree in Psychology, Human Resources, or any equivalent four-year-related courseMust be computer literate and proficient in utilizing Google Workspace applicationsKnows data and statistical analysis, with attention to detail, and is data-drivenHas basic design experience and exhibits literacy in using CanvaExhibits coachability, initiative, intelligence, the willingness to learn, and is self-motivatedRegistered Psychometrician, and other relevant certifications and qualifications, is an advantage but not required Information Security AccountabilitiesUnderstand own contribution to the effectiveness of the Information Security Management System (ISMS)Understand own responsibilities within the ISMS (e.g. Acceptable of Use Assets Policy, Information Security Policy)Understand the consequences of non-compliance with the requirements of the ISMSUnderstand information security guidelines related to own job role Key RequirementsMeet the expected standard of behaviour aligned with our values including trust, respect, innovation, curiosity, impact, connection, accountability & integrity.Manage  personal workload in line with the tasks set out at the start of each People & Culture Sprints, and update them in line with our Agile HR approachMaintaining an excellent candidate experience with a high level of communication, transparency and professionalism shown during the recruitment processLearn, research, and abide by local employment legislation and guidelines to ensure all activities are compliant with local requirementsResolving questions or issues related to tasks you've been assigned within a timely mannerMaintaining clear communication and collaborating with other team members and business units where relevant. Asking for support when needed from People & Culture colleagues.Provide regular updates on the progress of assigned activities to the People & Culture Manager or Lead, including completion, delays or challenges Measures of SuccessConsistent & clear communication with all internal and external stakeholders, including minimal grammatical errors in written communication or documentsEnsure completion of 100% of onboarding tasks by assigned team members via SproutComplete all administrative tasks within the required timeframe Development Objectives0-6 MonthsBuild internal relationships with the existing People & Culture Team and employees within your regionLearn & align with the annual and quarterly People & Culture Strategy, understanding current programs of work, projects and activitiesDevelop an understanding of the MyPass product, focusing on how we use MyPass to manage internal compliance and information as well as pitching the MyPass Story to candidatesLearn our approach to proactively building talent pools, communicating to candidates and scheduling interviewsWork with team leads to understand & support onboarding and induction processes through Employment Hero 6-12 MonthsParticipate in planning the quarterly P&C StrategySupport ongoing cultural and social initiatives across the businessContribute to updating information in Teamwork Spaces where approvedLead small P&C projects relating to any pillar of our frameworkRun improvement initiatives for our onboarding and induction process 12 – 24 MonthsHandover greater responsibilities from P&C Leads across pillars of the People & Culture frameworkContribute to organisational capability planning, highlighting areas needing support & future requirementsExplore responsibilities related to the People & Culture Associate position and build a development path towards promotion
