Job Description:
Under the supervision of the Director for Central Facilities Management Office, the Telephone Operator, performs operation of a PABX telephone switchboard, creates and maintains documents on matters in connection to Campus Telephone Communications System.
Responsibilities A. Telephone Operator
Receives daily incoming calls and transmits them by connecting to the extension/locals of the unit or office being requested. Keeps informed of scheduled functions, events, activities, programs etc., of various units on campus, to convey immediate and correct information to inquiries by phone. Attends to complaints on PLDT and PABX lines that are out of order and report them to PLDT or ELECOMM for repair. Makes official calls (long distance/overseas calls) as requested. Updates telephone directory regularly. Coordinates with Voicemail System service provider on the preparation and uploading of voicemail advisory and announcements. B. Office Administrative Support
Receives PLDT statement of account for campus trunklines and Central Administration direct lines and distributes them to units or offices in the campus. Prepares Order for a Check for monthly PLDT bills for Campus Trunklines and Central Administration Offices. Prepares monthly report of outgoing calls made by units or offices and submits/sends them respective concerned offices as well as to the Central Accounting Office. Prepares and sends PLDT statement of account for personal long distance calls made to the person concerned for payment. Prepares quarterly PABX telephone report and submits to Central Accounting Office. Distributes copies of yearly PLDT directories to various units or offices in the campus. Prepares monthly bill for telephone rental and outgoing calls made by units or offices for payment. Coordinates with PLDT regarding requests for new telephone lines. Monitors e-mails regarding job orders, complaints and other requests and forwards them to the unit or office concerned for immediate action. Screens and posts University announcements and activities to the Blueboard based on guidelines Photocopies and files monthly PLDT bills (trunk lines). Performs other work related taks that may be assigned by immediate supervisor.
Minimum Qualifications:
Bachelor’s degree With 1-3 years of work experience.
