Job Description:
DUTIES AND RESPONSIBILITIES Provides administrative support in the day-to-day operations of the HR functions and duties, as well as general office support functions:
Performing secretarial duties, such as preparing letters, formatting documents, scanning, photocopying, creating/editing/updating data, filing, making work orders and room bookings, etc. Assisting the HR Manager in appointment schedules and clerical duties Organizing meetings and taking minutes Performing customer service functions Screening telephone calls and visitor to HR Office Supporting HR-organized events as needed Maintaining purchase request of HR Office supplies, including materials needed for new employees and for new faculty orientation Maintains a variety of employment files and records for the purpose of compiling pertinent employee information, ensuring accuracy of all employee’s record Maintains and protects all employee confidential information Handles Absence Management by reviewing, inputting and ensuring accuracy of time and attendance records in HRIS Oracle Responds to written and verbal inquiries from a variety of internal and external sources for the purpose of providing information and/or direction Performs other related duties and assuming other responsibilities as assigned by the Human Resources Manager Builds Positive Interpersonal Relationships Promotes positive interactions and fosters a sense of identity and pride in JIS among students, parents, faculty, and colleagues Maintains an open attitude toward new ideas Collaborates with school wide teams and staff Establishes and maintains cooperative and positive working and team relationship with those involved in the course of work Ongoing Professional Growth Continues to acquire new learning and reflects new learning and professional practice Shares in opportunities for in-service and workshop offerings Shares professional knowledge with other colleagues Sets goals for professional development, takes advantage of professional development opportunities. Minimum Qualifications:
Diploma or Bachelor’s Degree preferably in Administration or Secretarial Excellent written and spoken English and Indonesian Outstanding personal communication skills Knowledge of modern office practices and procedures, including filing systems, telephone techniques, letter and report writing and office machines Demonstrated experience using Microsoft Office, such as MS Word, Excel and PowerPoint Team player, conflict resolution skills, good interpersonal and organizational skills Proven ability to set priorities Proven ability to understand and carry out oral and written directions Proven ability to perform duties with speed and accuracy without immediate and constant supervision Proven ability to maintain confidentiality of information
