The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the President. The Executive Assistant serves as a liaison to the management and department; organizes and coordinates executive meetings.As an executive assistant, he/she is the right hand to the President/CEO of the company. He /She also provides assistance to high-level executives within a company and is often trusted with complex duties and sensitive information.In addition to general administrative work, Executive Assistants may be in charge of scheduling meetings, taking minutes during sessions, maintaining databases and producing reports or presentations for their executive leadership.Finally, as an EA, he or she should develop and maintain effective relationships with colleagues, collaborate on matters, exchange information, provide and seek feedback to facilitate high-quality services.RESPONSIBILITIESAssists the President/CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.Provide general office support – includes but not limited to: greeting visitors, some mail room and kitchen functions, create and maintain filing systems; copy, bind and fax documents; update, process and distribute records, filesAnswering phone inquiries, directing calls, and providing basic company informationInform, advise and escalate emerging and sensitive issues to the President/CEOPlans/organizes and implements events such as meetings, business luncheons, or client dinnersManages executive schedule and acts as a liaison for the executive teamPrepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetingsHandles confidential information; organizes and maintains filesPrepares information and research for executive needsMay help plan company events, meetings, and employee team building activities or special projects.Trains, manages, and supervises administrative assistantGraduate of a Bachelor's degree in business or other related courseStrong analytical and planning skills;Good communication and presentation skills;Strong organizational, project management and problem-solving skillsAdvanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and softwareProficiency in collaboration and delegation of dutiesAbility to work under pressureExceptional written and oral skills
