Job Description:
MAJOR DUTIES AND RESPONSIBILITIES
1. Assists the Documents Administrator in maintaining an updated record of all intellectual properties (trademark/copyright applications and registrations) of ABS-CBN and its subsidiaries
provide a list of trademark deadlines for the year record & scan action papers issued by the IPO for the existing trademark applications of ABS-CBN and its subsidiaries record & scan Certificates of Registration issued by IPO for the trademarks of ABS-CBN and its subsidiaries 2. Assists the Documents Administrator in maintaining an updated record of all labor cases and litigation proceedings involving ABS-CBN and its subsidiaries
record the status reports submitted by external counsels on the cases they handle record & scan decisions, resolutions, and orders issued by the court on cases involving ABS-CBN and its subsidiaries 3. Assists the Documents Administrator in maintaining an updated record and monitor status of all contracts handled by the Legal Services for ABS-CBN and its subsidiaries
record new requests for the contract preparation and/or review and refer the same to the assigned legal team record/monitor status of requests based on transmittals (for contracts released to clients) and email feedback from lawyers 4. Assists the Documents Administrator in maintaining an updated record of and monitor incoming and outgoing documents
receive and record documents addressed to LSD lawyers and staff ensure that documents are routed to the concerned legal team for their information and/or appropriate action log outgoing documents and scan receiving copies/transmittals 5. Assists the Documents Administrator in creating, monitoring, and maintaining orderly, updated, complete, and accurate files of Legal Services' records (ie. corporate, contracts, litigation/labor, intellectual property, regulatory, references)
create new files and update existing files as needed assist lawyers/staff in locating and retrieving the files they need conduct an inventory of files as needed 6. Assist the Documents Administrator in performing other tasks as may be assigned/requested from time to time
scan documents for back-up/archiving purposes convert pdf email attachments into word format as may be requested by lawyers assist lawyers in minor computer/IT-related queries secure corporate documents online via the Securities & Exchange Commission's (SEC) website attend (together w/ other legal representatives) meetings regarding projects involving document management (coordinates with the IT team handling the project and provide the information required for the initial data gathering for the project) Minimum Qualifications:
Graduate of a 4 year course IT, database and communication skills Experience with Data Management and Software Excellent interpersonal and telephone skills Proficient in Microsoft Office Ability to evaluate, prioritize, and organize work schedules Ability to react quickly and effectively in challenging situations Team player, can assist colleagues and other departments with queries on documentation requirements and submissions
