JOB RESPONSIBILITY:
The Budget and Contracts Administration Assistant manages all EFM related invoices in the Invoice Database/Program and ensures compliance from the Contracts Administrators with regards to their timelines in performing their duties and responsibilities. He/she will assist the Supervisor for Budget and Contracts Administration on all Budget concerns, cost review reports, analysis and presentations.
Invoice Database Management
Receives invoices from vendors and records the invoice details in the Invoice Database Program as prescribed and forwards the invoices to the respective Contracts Administrator owners
Ensures that all invoices are complete, timely and presented as stipulated in the Contract and raises concerns with vendors for any late invoices and/or invoice discrepancies within the set turnaround time
Monitors timeline milestones and status of the invoices of the Contracts Administrators and notifies them if invoices are going beyond the set KPI’s
Ensures that Invoice Database Program is updated and working properly
Provides invoice turnaround performance reports of Contracts Administrators to Supervisor periodically
Elevates any concerns or problems to the Supervisor for any concerns on the invoices if cannot be resolved at his or her level
QUALIFICATIONS:
Candidate must possess at least a Bachelor's/College Degree , Economics, Finance/Accountancy/Banking, Business Studies/Administration/Management, Commerce or equivalent.
Required skill(s): good with figures, good communication skills, Computer Literate.
