Job Description:
Responsible for the management of accounts (which refers to, but is not limited by specific / group of program sponsors; specific / group of host organizations; specific / group of schools). Management entails the coordination of assigned team to pursue designated targets (which may refer to, but is not limited by timeline, numbers, location, etc.) as set by the immediate supervisor, or higher; management also entails the responsibility for the workload, work output, timeline, etc., of designated team. Duties will include, but will not be limited to:


Management of the work schedules (i.e. accounting of absences, tardiness, overtime, and leaves if any), and required outputs, if any, for each member of designated team. The team will include, but may vary depending on availability, at least one Program Counselor, and one Compliance Officer; the team will be considered subordinate to the Account Manager. This includes coordination with the Human Resources Department as necessary.


Communication, and coordination, with any and all assigned Program Sponsors, Host Organizations, and partner schools, etc. This entails the management of the relationship and ensuring sync between the Company and the aforementioned entities. This includes availability to communicate via email and, if needed, or requested, via Skype call.


Responsibility to issue a weekly General Update every Monday, or a Weekly Wrap-up on Fridays to all assigned accounts.


Responsibility of the management of the growth of each account (which refers to the numbers/hires/visa success) through constant coordination with assigned accounts regarding numbers management.


Ensuring that the processes/procedures/timelines of the Company, as is practiced in the Career Advancement Department, is synced with the processes/procedures/timelines of the assigned/designated accounts. Such tasks may entail, but will not be limited by:


Ensuring understanding, and mastery, of all related databases/platforms/systems for each assigned account and distribution of this knowledge to all relevant subordinates.


Ensuring that the accounting side of the relationship with all relevant entities/groups are coordinated with the Accounting Department of the Company


Ensuring that each point of contact for each account is updated regularly with any and all relevant news/changes, as is decided appropriate by direct supervisor, or higher. This also entails management of expectations of the relevant entities, as decided appropriate by direct supervisor, or higher.


Ensuring that timelines between the Company and the relevant entity is synced, and is realistic based on the resources of the Company; this is as decided appropriate by direct supervisor, or higher.


Communication of account status to all relevant departments of the Company. Account status comprises of, but is not limited by:

Lined up for Interviews.


Interview successes/failures; which includes Host Organization interviews, Program Sponsor interviews, and Visa interviews. Departures; include numbers, dates, and other relevant information, on a month to month basis. Accounting Concerns:


Reporting of interview success for invoice purposes. Reporting of clients that are filing for refunds; also includes submitting reports regarding approval/disapproval for refunds. Coordination of current account payables. Positions Update:


Availability of new positions Opening/Closing of positions Number of slots Reporting of any changes to qualification requirements, duties, stipend, etc. for each position. Issues


Ensuring that all relevant details, as determined by direct supervisor, or higher, is prepared regularly or as requested. This includes availability for weekly/bi-weekly sync briefs with direct supervisor, or higher; the details needed, and schedule, determined by direct supervisor, or convener, subject to change without prior notice. Completion of all daily tasks, clerical or otherwise, within the allotted daily shift of 9:00 AM to 6:00 PM, from Monday to Saturday. Timely filing of correct DTR to the immediate supervisor, or higher. This entails the compilation and ensuring integrity (i.e. accounting of shift hours; overtime, if any; absences, if any; leaves, if any; etc.), of the DTRs of all subordinates. Responsiveness to Viber during shift hours, or as requested by superiors. May also be tasked to perform the following duties:


Ensuring proper maintenance of all relevant client databases as decided by a direct supervisor, or higher. Collection, indexing, and filing of all documentation necessary to pursue a J1 Internship. This can be done through email, or personal turn over of hard copies of documents. Documentation assistance to clients also includes but are not limited to printing, scanning, photocopying, binding, manual editing, cutting, formatting of documents, etc. Assisting clients with documentation needs, i.e. formalization of resumes, accomplishing forms, data entry, etc. Ensuring compliance of each client with deadlines. Deadlines include, but are not limited to payment deadlines, documentation deadlines, interview schedules, confirmation for schedules, etc. Assistance with the coordination and facilitation of any and all evens that involve client participation. Such events include, but are not limited to: hiring fairs, client orientations, pre-interviews, seminars, etc. Such duties may include, but are not limited to: ushering client/guests, runner tasks, manning booths, etc. Main communication liaison between Vision International Philippines and client. Responsible for all other clerical/unskilled tasks unmentioned in this contract, but related to the pursuance of the J1 Program, as decided by immediate supervisor, or higher. Ensuring that each client is aware of, and acknowledges, all details of each client's program details, timelines, requirements, and general procedures/policies involved in the program. Ensuring that each client reads, understands, and accepts all relevant agreements with the Company as required by each program, or as decided by the Company. Responsible for verification, vetting, acceptance, and denial, of any and all submitted requirements (as outline by the packaging of each program by the Company) for each client. Responsible for counseling/preparing each client as needed for each phase of their application. This preparation includes, but is not limited to: pre-interviews for Host Company / Program Sponsor interviews, pre-interviews for the visa interview, hosting/facilitation of Host Company / Program Sponsor pre-departure orientation, post-interview failure counseling, post-interview success, visa interview scheduling, PDOS scheduling, etc. This also includes accepting, and acknowledgment, of new clients as a recipient of transition from the Sales Department and/or from Account Manager/Program Counselor responsible for all clients labeled as 'waiting-for-placement' (colloquially known as LIMBO). Responsible for ensuring that all data required by immediate supervisor (Account Manager) or higher is presented on a timely manner, or as requested. Minimum Qualifications:
